One album per client: your studio, creation, settings and poster
With the Pro plan, every event you work on gets its own album, filed under your client's name in your studio. Here is how to organise your clients, create their albums, set them up, add their QR code to your own material and decide who keeps control.
Your studio: your clients, their events, their albums
Once you are signed in, "My studio" is your dashboard. It lays out your season the way you think about it:
- upcoming events, soonest first, with the client, the number of photos received and the countdown;
- your clients, each with a record: name, email, phone and notes (venue, times, special requests), and the list of their events;
- past events and those without a date yet;
- a search that finds an event by its name, its code or its client's name.
From a client's record, "New event for this client" opens the creation form with the record already selected. An album created without a client can be attached later, from the client's record or from the album's space. Removing a record deletes no album: they stay in place, without a client. Your clients never see their record, which remains your own tool.
Create one album for each event
A Pro account includes unlimited albums, and each one comes with everything in the Complete plan. Details are in the guide to the Pro subscription. From "My studio", start a "New event":
- the client, picked from your address book, or created on the way by typing their name;
- the event name, the only required field, shown on the poster, the upload screen and the slideshow: write it for the guests, with no internal reference;
- the date, optional: it triggers the reminder emails and tells two weddings in the same month apart;
- an email address, optional;
- a colour from six shades, used for the poster title.
The album language (English or French) can be changed in the settings; the poster, the slideshow and the emails follow it.
Your email address or your client's?
That address receives everything the album sends: the host space link, the reminders, the notice when photos await your decision, the notice when the archive is ready. It is separate from the email on the client's record, which is only used to prefill the sharing of their albums' space.
- Yours if you run the day and the delivery: you remain the single point of contact.
- Your client's if you hand the album over and they take care of the poster and the photos.
An address can be added later, never replaced. If unsure, leave the field empty.
Set the album up for the event
Each album is configured on its own from its host space.
- The guest gallery, open by default. When closed, each guest only sees their own uploads: useful for a corporate event.
- The guestbook, open by default, text only. See the guide to the guestbook.
- The message wall, off by default. Enable it if there is a screen in the room and someone to moderate.
- The moderation mode: "Soft", the default, suits most parties; "Strict" (nothing appears without approval) for a screen seen by a wide audience.
- "Uploads": check they are open before the day.
The poster and the QR code in your material
Every album comes with an A4 poster, printed from the browser, in a single style. To fit your own visual identity, download the QR code alone as a high definition PNG (1024 pixels) and place it on the welcome sign, table cards, the menu, the invitation or a screen. Add a sentence saying what it is for, and test it with a phone on the printed item.
With white label, your name and logo replace ours, and a studio address puts your name in your QR codes. See the guide to white label.
Hand the album over or keep control
Your clients do not need an account. When signed in, the album space shows a "Give your client access" block: a link to send by WhatsApp, through your device's share menu, by email, or to copy.
- Share the link: your client gets the gallery, the slideshow, the guestbook, the review console, the settings and the Apple export. They see no plan and no price. They can also change the settings, and anyone holding the link has the same rights.
- Keep control: you moderate and deliver yourself, the most consistent option for a photographer. See the guide to delivery.
The day itself is covered in the guide to the big day at your clients' events. For the rest, see the Pro plan and the guides for professionals.
Frequently asked questions
Can I delete an album myself?
Not from the host space. Write to contact@entourage.photos.
What happens to my albums if I stop the subscription?
Pro stays active until the end of the paid period. The albums then become Complete albums hosted for one year, and printed QR codes keep working.
